How it works

Your month is four steps. The home screen is the list.

There is no dashboard to study. When you sign in you see the four things a program does every month, who's done, and a button for each. When the list is checked off, you're done.

1
Enter hours as they happenWho, which client, what day, how many hours. Thirty seconds from the home screen. It files itself onto the volunteer's monthly sheet.
2
ApproveThe director sees what's ready, opens a sheet if something looks off, and approves the rest in one click. Weekly limits, leave balances and clearances are checked for you.
3
Run stipendsStipend, mileage and meals totaled per volunteer at your locked rates. Export the CSV for payroll, print statements, mark it paid. It posts itself to the budget.
4
Clear the paperwork listExpired physicals, background checks, insurance cards, station agreements coming due — one list, each with a Fix button.

What's inside

Everything a Senior Companion program has to keep track of.

Built around how programs actually run and what AmeriCorps actually asks for — not a generic volunteer database with the words swapped out.

👤

Volunteer files

Photo, contact, station, status, emergency contact — and every required document with its issue and expiry date. The file tells you what's missing.

🏥

Stations & clients

Stations with their agreements (MOUs) and renewal dates. Clients by first name and last initial, matched to the companions who visit them.

🗓

Monthly hours sheets

A sheet per volunteer per month, quarter-hour rounding, training, leave and holiday hours, meals and miles. Draft → sent → approved → paid.

💵

Stipends

Rates locked per run. CSV for payroll, printable statements per volunteer, paid-history that an auditor can follow.

💰

Budget: federal vs. match

Your approved budget by AmeriCorps line, every expense marked federal or match, what's left in each line, and an FFR worksheet export.

📊

Reports that match the PPR

Who we serve (age, gender, race, ethnicity, veterans, income), hours by station, paperwork due. Print or export to a spreadsheet.

Volunteer file

Every document in one place, and the file tells you what's missing.

Drop in a photo or PDF, pick the document type, set the expiry. Dashed boxes are the required documents not on file yet. Expired and expiring items show up on Home before anyone has to ask.

  • Annual physical, NSOPW, state and FBI checks, proof of income, application
  • License and insurance card for volunteers who drive — mileage holds without them
  • A paperwork-done ring on every volunteer
Volunteer file: document cards with valid and expired status
Stipends

The stipend math is done, and it's the same every month.

After hours are approved, run stipends for the month. Each volunteer's service, training, leave and holiday hours are totaled at the stipend rate, with mileage and meals added. Rates lock at the time of the run so a later rate change never rewrites history.

  • CSV formatted for payroll
  • Printable statement per volunteer
  • Posts to the budget automatically as stipends, mileage and meals

Reports

When the PPR is due, the numbers are already there.

Three reports cover what AmeriCorps asks about: who you serve, hours by station, and paperwork due. Each one prints clean or exports to a spreadsheet. Everything else — stipend history, rosters, the training calendar — is one click further down.

  • Counts and percentages for every demographic question
  • Volunteers missing a PPR detail are flagged so you can fix it before the report
  • Grant year, not calendar year

Made to be easy

If the software is hard, people stop using it. So we made it easy.

Most Senior Companion programs run on a spreadsheet and a filing cabinet because the software they were handed was built for someone else. CompanionTracker is built for the coordinator with a stack of timesheets on a Friday afternoon.

Plain words

"Where they serve," not "primary volunteer station ID."

Screens use everyday language, with the official AmeriCorps term shown small beside it. A "What these words mean" page explains every one.

Fewer screens

Five things in the menu. Nothing you don't need.

Coordinators see Home, Volunteers, Stations & Clients and Hours. Directors also get Stipends, Budget and Reports. Rarely-used settings stay out of the way under Advanced.

A guided tour

New staff learn it in ten minutes.

The first time someone signs in, a tour walks them through each real screen and what to do on it. They can replay it any time.

Pricing

One price. Everyone on your team. Every volunteer.

No per-seat charges, no tiers, nothing to count. Priced so a small program can say yes without a budget amendment.

Questions

Things directors ask us.

Do my volunteers need to log in?

No. Volunteers keep doing what they do now — turning in hours to the office. Your coordinator enters them, usually in under a minute per volunteer. Only program staff have logins.

Is our data safe? Volunteer files have sensitive information.

Each program's data is isolated in its own secure space, documents are stored privately and only served to signed-in staff of your program, and everything travels encrypted. Your data is yours — export it to a spreadsheet any time.

We're on spreadsheets today. How do we move over?

Add your stations, then your volunteers with just the basics — name, phone, birthdate, station. Everything else can be filled in later from each volunteer's page. Most programs are entering hours the same afternoon. If you have a volunteer list in a spreadsheet, we'll help you import it.

Does it handle the PPR and the FFR?

The "Who we serve" report gives you the counts and percentages the Project Progress Report asks for, by grant year. The Budget page tracks federal and match spending by AmeriCorps budget line and exports a Federal Financial Report worksheet.

What about audits and monitoring visits?

Every document has its issue and expiry date and the file itself. Hours go draft → sent → approved → paid with who approved and when. Stipend runs lock the rates they were paid at. Printable statements and lists are a click away.

Can I try it before I talk to anyone?

Yes — open the live demo. It's a fictional program with 24 volunteers and three months of hours. Click around; nothing you do there is saved anywhere.
